Event Rental Agreement


Thank you for choosing the Oakland Aviation Museum for your Event. This Rental Agreement ("Agreement") sets forth the terms between the Oakland Aviation Museum ("OAM") and the signing party ("Client") regarding your gathering ("Event").

1. In the case of any Event held during normal operating hours of 10am to 4pm, Wed. -Sun., all exhibit areas of the Museum will remain open and accessible to the general public. All Events must end by 10pm, in accordance with Port of Oakland and Alameda County Sheriffs Department regulations.

2. Any changes to this agreement shall only be in writing and signed by both OAM and Client.

3. Basic items provided in this Agreement; exclusive use of facility and Event space, lined trash receptacles, recycling tubs, dumpster, electricity, running hot and cold potable water, restroom and bar facilities and use of parking lot with a capacity of 35 vehicles.  Additional parking may be arranged and will require a parking attendant for an additional fee.

4. OAM requires that all Events of 50 or more Event attendees must hire a caterer.

5. Vendors: (Caterers, Event equipment service providers, etc)

a) A coordination meeting between Event vendors, OAM and the Client shall be scheduled and held two-weeks in advance of the Event. It is the responsibility of the Client to provide all vendors with contact information for OAM director and a copy of vendor rules and responsibilities regarding Events at OAM as stated in this Agreement.

b) All equipment brought onto OAM property must be removed at the end of the Event. There is no on site storage, unless otherwise specified and agreed to by OAM.

c) All extension cords shall be taped down to the floor with gaffer's tape.

d) All vendor deliveries made prior to the Event date and time must occur during normal OAM business hours of Wed - Sun 10am to 4pm unless otherwise specified and agreed to by OAM. OAM is not responsible for deliveries made outside of these hours.

6. Client will be responsible for all damage or vandalism caused by Client, Vendors or Event attendees occurring in or on OAM premises including, but not limited to equipment, aircraft, artifacts, the building or exhibits.

7. In the Event of an interruption in facility services (power, water, restroom use) prior to or during a scheduled Event which cannot be remedied by OAM staff, resulting in a cancellation or discontinuation of the Event, a full and complete refund of deposits and fees shall be paid.

8. Rental of this facility does not include;

a) Event staffing other than to ensure clean restroom and vendor facilities and security during the Event

b) Event set up, unless otherwise specified and agreed to

c) Any service that would typically be provided by hired vendors (i.e.; caterers, Event equipment rental companies, etc)

d) OAM does not sign for any Event related deliveries. Client must arrange to sign for their own deliveries.

9. Use of any simulators, exhibits, amplification devices, heaters, and/or other OAM equipment not specified in this agreement, and/or special access to aircraft is not implicit in this agreement. Access to these resources can be included or added to this agreement for Clients use and shall involve additional fees.

10. OAM reserves the right to terminate the Event at its discretion based on but not limited to safety reasons, preservation protection, or suitability to OAM’s standard of conduct.

11. OAM is a 100% Smoke Free facility. Smoking is allowed only in the parking lot.

12. A deposit of 50% of the total rental fee is required to reserve the date of the Event. The remaining 50% is due before set up of the Event begins.

13. A Certificate of Insurance providing $1million in general liability coverage naming the Oakland Aviation Museum as an additional insured is required for all organizations renting the facility.

 

 

When renting the Museum for an event, a copy of this agreement will be provided for signature.
